Open Waybill Management
Go to Operations > Waybills > Browse and select New. The Waybill Management screen is the starting point for a new waybill.
Point-by-point instructions paired with the supplied screenshots so each image shows the screen being discussed.
The BEX Insight System manual is a practical onboarding and operating guide. It explains the correct workflow for capturing and managing shipments in Insight, from creating waybills and quotations through tracking, manifests and collections.
Capture the shipment, parcels and dimensions, save it, then print the electronic waybill.
Go to Operations > Waybills > Browse and select New. The Waybill Management screen is the starting point for a new waybill.
The Sender Side pre-populates and the waybill number auto-generates. Select the service type. For the receiver, start in “Type an address”; search saved addresses by Company Name, Street or Suburb, or create a new address by entering the Suburb first and completing the address fields.
Capture the combined Waybill Weight, enter the total Waybill Pieces, then add the dimensions for each piece and click Add Parcel to list the dimensions.
Click Save. The system gives a cost breakdown. Creating a waybill bills the account. If a waybill needs to be deleted, the manual says to email David.daniel@bex.co.za and the sales representative.
Click Print Waybill. The electronic waybill only needs to be printed once.
Search a shipment, open its tracking history and retrieve delivery images/POD when available.
Use the Waybill No. field to search for the shipment.
The manual also allows invoice numbers or references connected to master waybills to be used when searching.
Double-click the waybill you searched for, then select the Tracking tab to see the shipment’s position through the network.
The tracking history is read from the bottom up and explains each event. The waybill detail screen also provides the Images tab.
Once delivered, the shipment is imaged into the system and the POD can be viewed/downloaded. SWAD images show shipments processed through the SWAD machine, including calculated weight and dimensions.
Close out the day’s processed waybills with a signed driver/client manifest.
When you are done processing the waybills for the day, generate the manifest for the driver who comes to collect.
Print two copies: one for the driver and one for the client. Both copies must be signed.
When the driver returns to the warehouse, the driver is debriefed against the manifest.
Create a quote without billing the account, then accept it when it should become a waybill.
Go to Operations > Quotes > Add. The Quote editor uses the same general layout as the Waybill editor.
Capture the quote using the Quote editor. Creating the quote itself does not bill the account.
Click Accept Quote when the quote should be generated into a waybill.
Once converted, refer back to the Waybill process for printing the waybill.
Enter the shipment information, compare services and ETAs, select the preferred option, and continue to the quotation screen.
Select Quote Pricing from the quote listing.
Fill in all necessary information in the prompt screen before continuing.
Click NEXT in the bottom-right corner. The system then presents services with estimated collection/delivery dates and pricing.
Select the option you decide to use. The selected option is highlighted in RED.
Click NEXT in the bottom-right corner. You will be transferred to the General Quotation Screen and given a quote reference number.
Accept the quote to convert it into a waybill. Contact details are required before conversion. You will then be brought to the waybill screen with a waybill number.
There are two related workflows: create a collection directly, or generate one from a waybill.
Go to Customer Services > Collection > Add.
Complete Account Holder (main account), Sender Details (where the collection is from), and receiver/delivery details. If shipments are going to various destinations, the receiver side can be left blank.
Enter the collection date, time ready and time close, and specify whether security and insurance apply.
Save the collection. A collection reference number is generated, sent to customer service for verification, and operations allocates it to a driver.
Highlight the relevant waybill and select Customer Services from the bar below Waybill Management.
Select Generate Collections. If multiple waybills need collection, hold CTRL and click the required waybills.
Select YES when prompted to generate a collection from the selected waybill(s).
The Collection Parameters prompt asks for Collection Date, Time Ready and Time Close.
Enter the date, ready time and closing time, then select Generate. The manual explains that this gives operations an idea of when to send a vehicle.
After Generate, the waybill receives a Collection Reference number beginning with the branch area code, for example JNB, CPT or PRY.
Double-click the waybill, select Tracking, and check the Collection column for the reference number. This confirms the process was completed correctly.
